Voice Mail

This documentation is for our old voicemail system that is gradually being phased out. Documentation on our new voicemail system will be coming to BishopWorks.

Accessing Your Voice Mailbox

From your office phone, dial 3976 and follow the prompts (or use shortcuts).

From outside your office, dial 740-368-3976. When the system greets you, enter 9 followed by your extension number.

In either case, enter your security code, and follow the prompts (or use shortcuts).

First time passcode is 111.

You may also access your voicemail at voicemail.owu.edu.

At Any Time in Voicemail
  • Enter 1 for Yes
  • Enter 2 for No
  • Enter 3 for Help menu
  • Enter # for the previous menu
  • Enter * to return to the main menu
  • Enter 41 to Check New messages
  • Enter 5 to Send a message
  • Enter 6 to hear Old messages
  • Enter 7 to change setup options (greetings, security code, etc.)
During Play of a Message
  • Enter 4 for Slower play
  • Enter 5 to adjust Volume (softer/louder)
  • Enter 6 for Faster play
  • Enter 7 to Backup in message
  • Enter 8 to Pause/continue
  • Enter 9 to Fast Forward to end of message
Shortcuts During Play of Message
  • Enter 34 to Reply to a message:
    • Record your reply, press * to finish recording, * again to send
  • Enter 35 to Skip a message (it becomes an “old” message but is not archived)
    • Old messages are saved until midnight on the day retrieved.
  • Enter 36 to Delete a message (deleted messages cannot be retrieved)
  • Enter 37 to Archive(save) a message
    • Archived messages will be saved for 30 days (students)
  • Enter 38 to hear Time and Date message was left
  • Enter 39 to Redirect (FORWARD)the message
    • To record an introduction in front of the redirected message, enter 1
    • Press * to stop recording
    • Enter the subscriber’s extension number or 1st letters of last name (Enter ## to “toggle” between using 1st 3 letters of last name/extension number)
    • Enter 1 to add more recipients
  • Enter 30 to skip a message and Save as a New message
After Play of Message
  • Enter 4 to Reply to sender
  • Enter 5 to check next message
  • Enter 6 to Delete the message
  • Enter 7 to Archive (SAVE) the message
  • Enter 8 to hear Time and Date of message
  • Enter 9 to Redirect (FORWARD) the message
  • Enter 0 to Save as NEW
Changing Your Set Up Options
Greetings

Dial into voicemail, enter your security code and follow the prompts to setup options, or use these shortcuts:

  • To Change Your Standard Greeting:
    • Enter 7461 (setup options, greetings, standard, yes [record])
  • To Change Your Alternate Greeting:
    • Enter 7471 (setup options, greetings, alternate, yes [record])
  • To Switch Between Your Standard and Alternate Greetings:
    • Enter 745
Security Code

Dial into voicemail, enter your security code and follow the prompts to setup options and then personal options, or use these shortcuts:
1. Enter 774
2. Follow the system instructions pressing 1 for Yes, 2 for No

Recorded Name

Dial into voicemail, enter your security code and follow the prompts to setup options and then personal options, or use these shortcuts:
1. Enter 775
2. Follow the system instructions pressing 1 for Yes, 2 for No

Spelled Name

Dial into voicemail, enter your security code and follow the prompts to setup options and then personal options, or use these shortcuts:
1. Enter 776
2. Follow the system instructions pressing 1 for Yes, 2 for No

Voice Mail Directory

To get the directory dial x3976 (or 740-368-3976 while off campus) and then dial 411. The system will then ask you to enter the first three letters of the last name of the person you’re trying to reach.

To Send a Message Directly to Another Person's Mailbox

1. Dial 3978, enter the mailbox number plus the digit 2, of the person you wish to leave a message for. Example: Extension 4321 2
2. Record your message at the beep
3. Press * to stop recording, or # to start over
4. Before sending the message:

  • Enter 4 to Edit
  • Enter 5 to Listen to your recording
  • Enter 54 to mark the message Urgent (it will move to the top of the message stack)
  • Enter 55* to make Private (message cannot be forwarded)
  • Enter 56* to request a Return Receipt when the message is heard
  • Enter 57to have the message delivered at a future date:
    • Later in the day: Enter 0
    • The following Day: Enter 1
    • Two days later: Enter 2
    • To enter a date: Enter 9, then month 1-12, da
Creating and Using Message Groups
Creating a Group

After accessing your mailbox:
1. Enter 754 (setup options, groups, edit)
2. Enter either 3 numbers or 3 letters for your new group (for example, NEC would be 632)
3. Record a name for the group (press * to stop recording)] 4. Press 1 to make the group “Public”, or 2 to make “Private” (Public – others may access and use, Private only you can use). The system will prompt you to add members (## to toggle between name/extension).
5. Press * when finished adding members.
6. Enter 1 to leave a message for this group at this time, otherwise, enter 2.

Send a Message to a Group

After accessing your mailbox:
1. Enter 5 (to leave a message)
2. Enter the 3 numbers or 3 letters for the group
3. Press 1 to confirm when you hear the recorded name
4. Record your message at the beep
5. Press * to stop recording (you may also edit or use delivery options at this point)
6. Press * again to send the message

Add or Delete Group Members

After accessing your mailbox:
1. Enter 755
2. Enter the 3 numbers or 3 letters for the group
3. Press 1 to confirm when you hear the recorded name
4. Press 4 to Add members, or 5 to Delete members from the group
5. Enter 1 to confirm addition or deletion
6. Press * when finished adding or deleting

Changing a Group Name or Number

After accessing your mailbox:
1. Enter 755
2. Enter the 3 numbers or 3 letters for the group
3. Press 1 to confirm when you hear the recorded name
4. Press 7 to change the name or number
5. Follow prompts to complete.

Hints
  • Enter * to exit voicemail
  • If you are transferring a call to someone and reach their voicemail, entering * will exit you from voicemail and return you to the call
Reminders
  • Always Enter 1 for Yes, 2 for No, and 3 for a Help menu
  • Always enter * (star) to stop recording while in voice mail
