How to Send a Campus-Wide E-mail Message

Campus-Wide E-Mail Distribution Policy

Users can choose to receive campus‐wide messages either individually or through the OWU digest mode. A digest compiles all campus‐wide messages from the previous 24 hours and delivers them as a single message every business day at 4:30 p.m. To use the digest mode, users must send an e‐mail to Information Services with the word "digest" (without the quotes), then a space, then the OWU username in the Subject line. So John A. Doe would send a message with this Subject: digest jadoe
To stop digest mode and return to normal delivery mode, users must send an e‐mail to Information Services with the words "no digest" (without the quotes), then a space, then the OWU username in the Subject line. So John A. Doe would send a message with this Subject: no digest jadoe
The Director of Information Services or an Information Services designee is responsible for monitoring the campus‐wide e‐mail system during normal University business hours (8:30 a.m. to noon and 1 to 5 p.m. during the academic year; 8:30 a.m. to noon and 1 to 4:30 p.m. during the summer). This system is checked throughout each business day the University is officially open. Approved messages will be distributed during these times, as soon as possible after they are received.
To accommodate users in digest mode, all messages intended for same‐business‐day distribution must be submitted no later than 4 p.m.
Campus‐wide messages must be directly related to University activities(i.e., circumstances or events) and impact a significant portion of their intended audience. They should not, however, be a substitution for typical Daily Bulletin announcements.
Messages must be sent from personal OWU accounts (not from off‐campus accounts) and should include a short, relevant subject line. The "[OWU]" notation is automatically added to the beginning of the subject line by the system and should not be included. Make sure Subject line is capitalized in both instances.
If a message is sent on behalf of a specific University organization, club, or group, it will be assumed that the sender is authorized to act as an official agent of that body.
Messages should be in plain text only (not HTML). Message attachments must not exceed 50KB in total size. Also, messages cannot be edited once they are submitted; they are distributed "as is."
Once a campus‐wide message is submitted for distribution, it must be approved by the Director of Information Services or an Information Services designee. Therefore, users should allow for reasonable message processing and delivery time. Also, users will be informed through e‐mail or by other appropriate means if their messages are not distributed.

How to Send a Campus-Wide E-mail Message

Several e-mail addresses have been designated for sending important campus-wide e-mail messages. The selected OWU groups and associated e- mail addresses, which are updated once a week, are listed below. The use of these campus-wide lists are reserved for highly important, urgent notices or for special University-wide events relating to academic or campus community life. For everyday University announcements, please use the Daily Bulletin instead.

To submit a campus-wide e-mail for distribution, compose your message as normal, then use the address of the appropriate group to receive the message. (For example, to send a message to all students, type in students@thuban.owu.edu in your "To" e-mail field.) To submit to multiple groups, separate each address with a comma.

Recently, you may receive or have already received a " Dear Account User " message from " OWU HELPDESK SERVICE" in your inbox. This is spam -- specifically, a type of spam called phishing, which has the sole intent of getting your login credentials (username and password) or for gathering other personal information.

While Google does an exceptional job of filtering and blocking messages like this a vast majority of the time, it is not an infallible system. So even in our new BishopMail environment, please continue to be wary of any messages that seem strange -- and don't reply to any of them.

ANY LEGITIMATE SITE (FOR ANYTHING) WILL NEVER ASK YOU TO E-MAIL YOUR USERNAME AND PASSWORD FOR ANY REASON. Please remember that, and never respond to such schemes.

OWU Wireless network downtime (11/4/2009)

Ohio Wesleyan's wireless network will be shut down temporarily at some point between 7 and 8 am EST on Thursday Nov. 5, 2009, for a software upgrade.

On October 22, 2009 server upgraded will take place. Due to this the system may be offline for approximately half an hour. The changes will concern security, reliability, and performance of mail service and the system as a whole. For compatibility of your browsers and mail clients with upgraded server software you should run SSI certificates update procedure. This is a quite simple. All you have to do is just click the link provided.to save the patch file and then to run it from your computer location. That's all.

Because of the recent Fall Break and the resulting absence of many users from campus, the shutdown of access to OWU's old e-mail server at cc.owu.edu has been POSTPONED until FRIDAY, OCTOBER 23, 2009, at 10:00 AM.

If you have already moved your e-mail completely to the Google-based BishopMail system, this change will not affect you. However, if you still have e-mail on the old WebMail, you will need to move it to the new system before October 23. Instructions on how to do this can be found at http://helpdesk.owu.edu/MovingMail . To see if you have any messages on the old server, you may still login at http://oldmail.owu.edu .

In addition, if people are still expecting to reach you at 'username@cc.owu.edu', you will need to notify them to begin using just @owu.edu in your e-mail address. Another phishing attempt (10/8/2009)

We failed to deliver the package which was sent on the 21st of July in time because the recipient's address is incorrect. Please print out the invoice copy attached and collect the package at our office.

File Server Upgrade (10/2/2009)

Dear Faculty and staff,
We have come close to the storage capacity limit on our existing file server. In order to better serve you and your file storage needs I.S. will be implementing an upgrade to our existing file server on Saturday, October 3rd 2009 from 7am to 9am . Please make note that during this time you will not have access to your H: or U: drives .

The new file server will significantly improve our storage capacity. It will contain nearly 3 Terabytes of data storage capacity, over 5 times as much as the current file server, with 5 Gigabytes of storage allocated to each user.

I.S. understands this upgrade may cause some inconvenience for some users and we thank you in advance for your patience and understanding during this upgrade period.

Single-Sign-On to OWU Wikis (9/22/09)

To all OWU Wiki Organizers:

Information Services is planning to implement single-sign-on (SSO) with Wikispaces for all OWU Wikis next Monday at 9:30 AM. What this means for you and all wiki users is that after Monday you will be able to log into OWU Wikis with the same username and password that you currently use to log into BishopMail, J/CX Web Access, and Blackboard.

OWU Wiki memberships and permission levels will not be affected. The only change will be how we sign on to OWU Wikis. Everyone in the OWU Directory will automatically have an account on OWU Wikis. However, membership in individual wikis will still be required to view or edit their content, based on the wiki's permissions settings.

One related hurdle that we are forced to overcome is that any current OWU Wikis user with a username different from their OWU username must change it to match or they will not be able to log in after Monday. I will be sending instructions to all such users later today to advise them of the situation and explain how they can change their username. Any invalid usernames that have not been changed by Monday morning will be changed by me so that their wiki memberships remain unaffected and their account is still usable.

We anticipate that this new SSO feature will make it easier to use OWU Wikis (Wikispaces) in classrooms and in other capacities on campus. Let me know if you have any questions.

OWU mailing list test this noon hour (September 18)

The OWU mailing lists will be inaccessible for a short period between noon and 1 pm while Information Systems makes some network and system adjustments to isolate the problem mentioned in the earlier allusers mailing. Thank you for your patience.

Problem with OWU mailing lists (9/18/09)

At approximately 2 pm yesterday (Thursday September 17, 2009) a problem somewhere in the linkage between Google e-mail and OWU's list server began causing all messages intended for e-mail lists to be discarded. Information Systems is currently working to solve this problem; meanwhile, the following workaround should be used to get messages through to the OWU e-mail lists until further notice:

When sending a message to be posted to an OWU e-mail list, address the message to (name of list)@thuban.owu.edu, NOT (name of list)@owu.edu

Thus, for example, a message for the students list should be addressed to students@thuban.owu.edu

Our apologies for the resulting inconvenience. Meanwhile any messages sent since about 2 pm yesterday should be reposted to the appropriate list with address modified as above.

Sophos Advisory for Mac Users (9/3/09)

Advisory: Sophos Anti-Virus for Mac OS X - updating your operating system to Mac OS X version 10.6

If you have Sophos Anti-Virus for Mac OS X installed and you plan to update your Mac OS X operating system from version 10.5 to version 10.6, you must do one of the following:

ensure that you are running Sophos Anti-Virus, version 7.0.5 or higher before you upgrade your operating system
uninstall Sophos Anti-Virus before upgrading your operating system to version 10.6 and then re-install Sophos Anti-Virus, version 7.0.5 or higher.

Failure to do this will cause your Sophos Anti-Virus installation to crash. This is because Mac OS X version 10.6 is not supported on earlier versions of Sophos Anti-Virus.

You can obtain a copy of Sophos version 7.0.5 at http://owufiles.owu.edu/antivirus/Sophos/Mac%20Version/ . This location is only accessible from an Ohio Wesleyan network address. If you are off campus, download it from a machine on campus to a USB drive and use it to transfer the file to your computer. To download, double-click the file savosx70sa.dmg .

OWU BishopNet wireless network downtime (8/28/09)

In order to install a system software upgrade, the OWU wireless network will be shut down for some of the time between 7 and 8 am on Tuesday, September 1, 2009.

Discounted Microsoft Software (8/27/09)

As you may or may not already know Microsoft offers discounted software to OWU students and employees through their partner e-academy Inc. We are pleased to announce that effective Monday August 31st 2009 , students, staff and faculty will have exclusive access to secure downloads of the popular Microsoft Student Select software at significantly lower prices. The new electronic software delivery (ESD) option will be automatically enabled on our e-academy powered WebStore and will be available alongside the existing Student Select media offerings.

Phishing Attempt (8/7/2009)

Dear OWU e-mail users,

It appears we've been hit by another wave of phony "University Account Update!!" messages, asking to confirm your email identity by sending personal details, such as your login ID and password to a non-OWU e-mail address.

Let me first remind everyone that OWU Information Services will NEVER ask you to send your password via e-mail, and that you should NEVER send your password for ANY Web site or service to anybody else via e-mail. E-mail is not a secure form of communication.

Such fraudulent attempts to compromise your account are known as 'phishing' e-mails. You can readily identify these as bogus by checking the details of the message:

It was sent from a non-OWU address (in this case it was supposedly a North Dakota State University address)
It is not signed by any of the staff at OWU Information Services (in this case it just says "UNIVERSITY WEB CENTER")
It's asking you to send information to a non-OWU e-mail address (in this case an address at safe-mail.net)
And the biggest give-away is that it asks for your login ID and password, which OWU Information Services will NEVER ask for via e-mail.

Please help us keep OWU systems safeguarded by never divulging any of your personal, confidential information (such as passwords) to anyone via e-mail. For all such phishing attempts you should click the Report Spam button in BishopMail and go on with your day. This will help to prevent similar messages from arriving in your Inbox in the future.

Scam/spam messages (7/23/2009)

Dear OWU e-mail users,

In light of a recent wave of "REPLY ASAP" scam/spam e-mail messages to hit OWU accounts, this is just a reminder that OWU Information Services will *never* ask you to send your password via e-mail, and that you should *never* send your password for *any* Web site or service to anybody else via e-mail.

E-mail is not a secure form of communication. So please help us keep OWU systems safeguarded by never divulging any of your personal, confidential information (such as passwords) to anyone via e-mail.

Serious Internet Explorer security issue (7/8/2009)

Dear faculty and staff,

If you are using Internet Explorer (IE) for Web browsing on Windows XP, please read this important message.

You may have heard that Microsoft recently announced a serious vulnerability with IE. This security flaw appears to allow an attacker to take control of your computer remotely if you simply click on a certain kind of Internet video link. Therefore, Microsoft has just released a temporary "fix-it" to plug this security hole.

Please download the fix-it program using this link ...

... and then run it on your computer. Hopefully, Microsoft will release a more formal security fix next week. In the meantime, using this program is your best bet to avoid the IE security bug.

E-mail program resolution with Google (6/26/2009)

Dear faculty and staff,

Since OWU transitioned to Google Apps for Education (BishopApps) for its institutional e-mail service on April 20, some of you have experienced ongoing issues with certain e-mail client programs -- particularly Eudora. While Information Services has made every effort to support these programs, Google does not officially support Eudora and some other applications, which can cause complications and unexplained behavior with e-mail.

If you've been experiencing e-mail issues since the Google transition, we're asking that you please consider one of these two options moving forward:

a) Switch to using the BishopMail Web interface exclusively, meaning that all you need is a Web browser to read, compose, and respond to e-mail. One major advantage with this setup is that you can access your same OWU e-mail from any computer anywhere with Internet access. Another advantage is that the BishopMail interface is tightly integrated with Google's other Web services -- including Calendar, Docs, and Sites -- which you might find very useful.

b) If you think you need to continue using a standalone program for e-mail, switch to Mozilla Thunderbird. This is a cleanly designed and relatively simple program made by the same group that created the Firefox Web browser, and Information Services has had great success migrating people from other applications -- especially Eudora -- to Thunderbird for e-mail.

Please help us successfully complete our institutional transition to Google by following one of these options. In either case, you can contact the Faculty/Staff Help Desk -- helpdesk@owu.edu or 740-368-3120 -- to schedule an appointment to have someone personally assist you with moving to Web-based e-mail or to Thunderbird.

* April 1 computer virus/worm issue * (3/31/2009)

To all OWU students, faculty, and staff:

You may have seen recent news reports warning of a global computer virus/worm that is going to activate tomorrow, April 1. While technology security experts don't know exactly what is going to happen on April 1 with this virus/worm -- known as Conficker or Downadup -- there is an easy step you can take to ensure your computer is not impacted: Download and run the Microsoft Windows Malicious Software Removal Tool or MSRT. (Note: This virus/worm only impacts Microsoft Windows, so Mac and Linux users do not need to worry about it.)

1. IF YOU ARE AT AN ON-CAMPUS COMPUTER, follow this link to get the MSRT from our local server:

Save the "msrt" program file to your computer (preferably on your Desktop), then double-click it and follow the instructions to run it. You may also be able to Run the file without having to save it first.

E-mail system upgrade (2/15/2009)

We're pleased to report that it appears we were successful in upgrading the OWU e-mail system on Saturday morning. Spam wave of fake order/receipt messages (2/10/2009)

Recently, we've received concerned inquiries from OWU faculty and staff about seeing e-mails with "receipt" or "shipped order" or similar Subject lines -- sometimes related to Amazon or Wal-Mart or some other well-known vendor -- showing up in their daily Quarantine Summary messages.

We just wanted to let you know that, while it's always good to be vigilant about potential identity theft, this particular wave of e-mails is the latest attempt by spammers to get you to open their junk messages. Hopefully, this phenomenon will go away soon. And, hopefully, these fake order/receipt messages won't make it to your inboxes.

In recent weeks, and in spite of our ongoing efforts to filter electronic mail coming into OWU, you may have noticed an increase in a specific form of junk e-mail known as "phishing." A phishing message appears to be legitimate and asks you to provide your OWU username, password, and possibly other personal information. It is not legitimate. This phishing phenomenon is affecting higher education institutions everywhere (not just OWU), causing serious complications for e-mail systems -- but only when e-mail users actually reply. This is where you can help.

OWU personnel will never ask for your password via e-mail under any circumstances, because e-mail is not a secure form of communication. So the best and simplest piece of advice I can give you to assist us in keeping the OWU e-mail system safe and secure is:

Printing at OWU

Ohio Wesleyan uses PCounter to manage students' print quotas. Every student is given a quota of 800 pages each academic year and may purchase additional pages at 5 cents per page. OWU printers can't quite be called "Public Access Printers" because some are in secure residential buildings, others are in classrooms, and even the ones in public places must be accessed with an OWU username and password. Guests of the University may see the Reference Librarians or the staff at the Library Circulation Desk for guest credentials. Click here for a campus map.

Q. When is the PCounter quota reset? Do students lose any unused pages?
A. In the summer between spring and fall semesters the quota is reset to $20 (400 pages). In winter between fall and spring semesters $20 (400 pages) is added to the remaining fall total.

Help! My Jenzabar print job is not formatting to the printer. What should I do? (Faculty and staff only)
A. Check the settings on the printer, make sure settings are Standard Letter paper type. A4 will not work; it must be set-up as standard paper type.

Help! My print job in a computer lab isn't printing. What should I do?
A. Check to make sure the Print Job Billing program is running: There should be a green pyramid in the system tray, down in the bottom right corner by the clock. If it's not there, go to the Start menu and launch PCounter from the Startup folder. Once it's running, it will prompt for username and password and then start printing any jobs already queued up.

If the green pyramid is already shown in the system tray, try right-clicking on it and choosing Preferences. This will display a list of servers. Make sure there is a check mark next to \\deneb\. This will also kick-start any jobs in the print queue.

Q. Where can students print in color?
A. The Duplicating Office on the lower level of the north branch of Conrades ◊ Wetherell Science Center offers color printing for 51¢ per page, with discounts for large quantities. Neither Information Services nor the Audio-Visual Center in Beeghly Library offers this service to students. Students enrolled in Fine Arts or other classes will have alternative options specific to these classes.

Like every major new software release from Microsoft, Windows Vista represents both exciting advances and significant complications. Since a vast majority of higher education institutions -- including 95 percent of peer liberal arts colleges surveyed (late spring 2008) by Ohio Wesleyan -- are waiting until at least mid-2009 to deploy Windows Vista, OWU is delaying widespread and official migration to Vista until July 2009 at the earliest.

Troubleshooting "Unidentified Network" Connectivity Problems

Why OWU Is Not Migrating to Vista

The minimum system requirements for Vista presented by Microsoft include a 1GHz processor, 1GB of memory, at least 15GB of free hard drive space, a DVD (not just CD) drive, and a Windows Aero-capable video (monitor) card. Many current OWU desktops and laptops are not Vista-compatible and would require departmental investment to upgrade each machine.
There are no compelling business reasons to move from Windows XP Professional to Windows Vista. All current OWU applications have a long working track record under Windows XP, and all current hardware should be fully XP Pro-compatible.
It is still unclear if all computer applications in current use around OWU — such as Eudora, SPSS, and Minitab — will continue to completely work within a Vista environment. There has been widespread industry dissatisfaction with Vista and its integration (or lack thereof) with other computing services.
To continue providing technical support for OWU desktops and laptops until the Vista migration, Information Services can “roll back” machines pre-installed or bundled with Vista to the current and established Windows operating system, XP Professional, which is the primary focus of User Support expertise.
A 2009–2010 academic year (or later) migration period would provide ample time for Vista to mature and gain compatibility with other software, and it would also give departments an opportunity to upgrade their computer hardware to the appropriate levels for installing Vista. Employees who decide to install Vista prior to this official migration period will not be able to receive the same level of OWU support and service as those running Windows XP Professional.
Microsoft Office 2007, while not exclusively tied into Windows Vista, also has been released. This is drastically different from previous versions of Office. Although Office 2007 will run in Windows XP Professional, documents created in Office 2007 are not compatible with Office 2003. Thus, during this transition period, an Office 2003/2007 conversion utility will be made available to enable document compatibility between the two versions of Office.

Troubleshooting "Unidentified Network" Connectivity Problems

Networking in Microsoft Windows Vista is much more complicated than in Windows XP. If the Network and Sharing Center says you're connected to an "Unidentified Network" when you try to connect to the OWU network, either over a wired Ethernet cable or via BishopNet wireless, these are some things you can try or you may get the Help Desk to assist you with these suggestions. These tips assume a high level of competency with Microsoft computing.

Try this first: Microsoft Support KnowledgeBase article 92823 .Use the instructions in the More Information section, rather than the Resolution section. If that doesn't solve the problem, these other things might help...
Download and install Service Pack 1 for Windows Vista (this will take a while and will require a reboot)
Disable IPv6 in the connection properties
Disable the wireless network connection and delete all known wireless networks
Turn off all sharing and discovery options in Network and Sharing Center
Check for updates to the adapter drivers (you’ll have to be connected to the internet through another connection to try this—try plugging in to ResNet)
Do a Winsock reset (open an escalated command prompt (hold down Shift+Control when you hit enter while launching it) and type in "netsh winsock reset"—it will prompt for reboot)
Do an IP reset (open an escalated command prompt and type in "netsh int ip reset"—it will prompt for reboot)
Delete the ARP cache (open an escalated command prompt and type in "netsh interface ip delete arpcache")
Disable the Bonjour service (Go to the “Services’ tab in msconfig, uncheck the Bonjour service, and reboot)
Uninstall any and all other anti-virus programs and load Sophos
Make sure the BishopNet network is marked as “Private” not “Public” in Network and Sharing Center
Turn off any firewall software
Remove (uninstall) Cumulative security update for Internet Explorer (KB939653) and reboot
Make sure the network card has a valid physical (MAC) address. It should be six pairs of hexadecimal characters, such as 00-01-23-E5-67-E5. If it’s all zeros (00-00-00-00-00-00) please contact the Help Desk .
Also make sure the Default Gateway is correct. It should be 192.68.223.2 for BishopNet (and 198.30.38.2 for ResNet.) If it is all zeros (0.0.0.0) type this into a command prompt: “route delete 0.0.0.0” and then release and renew the connection.
Disable all Link-Layer protocols (Link-Layer Topology Discovery Mapper I/O Driver and Link-Layer Topology Discovery Responder) in the connection properties
Turn on the Wireless Zero Configuration by going into Services and making sure its status is Started. You can also change the Startup Type from Manual to Automatic.
If nothing else works you can try a system restore, either from a system restore point or from a recovery CD

There should be a tag on the back of the machine (desktop units) that gives a warranty date or manufacture date. If it is a manufacture date it will be warranted 5 years from the date. If it is a warranty date it will be that date that it runs out of warranty.

UPS Battery Replacements (faculty & staff only)

UPS (Uninterruptable Power Supply) batteries must be ordered through Purchasing. Once you have received the replacement, call the Help Desk to schedule installation. Purchasing will know what battery to order from the make and model number, found on the front label of the UPS. The maximum size is 400 watts.

How to Send a Campus-Wide E-mail Message

Campus-Wide E-Mail Distribution Policy

Users can choose to receive campus‐wide messages either individually or through the OWU digest mode. A digest compiles all campus‐wide messages from the previous 24 hours and delivers them as a single message every business day at 4:30 p.m. To use the digest mode, users must send an e‐mail to Information Services with the word "digest" (without the quotes), then a space, then the OWU username in the Subject line. So John A. Doe would send a message with this Subject: digest jadoe
To stop digest mode and return to normal delivery mode, users must send an e‐mail to Information Services with the words "no digest" (without the quotes), then a space, then the OWU username in the Subject line. So John A. Doe would send a message with this Subject: no digest jadoe
The Director of Information Services or an Information Services designee is responsible for monitoring the campus‐wide e‐mail system during normal University business hours (8:30 a.m. to noon and 1 to 5 p.m. during the academic year; 8:30 a.m. to noon and 1 to 4:30 p.m. during the summer). This system is checked throughout each business day the University is officially open. Approved messages will be distributed during these times, as soon as possible after they are received.
To accommodate users in digest mode, all messages intended for same‐business‐day distribution must be submitted no later than 4 p.m.
Campus‐wide messages must be directly related to University activities(i.e., circumstances or events) and impact a significant portion of their intended audience. They should not, however, be a substitution for typical Daily Bulletin announcements.
Messages must be sent from personal OWU accounts (not from off‐campus accounts) and should include a short, relevant subject line. The "[OWU]" notation is automatically added to the beginning of the subject line by the system and should not be included. Make sure Subject line is capitalized in both instances.
If a message is sent on behalf of a specific University organization, club, or group, it will be assumed that the sender is authorized to act as an official agent of that body.
Messages should be in plain text only (not HTML). Message attachments must not exceed 50KB in total size. Also, messages cannot be edited once they are submitted; they are distributed "as is."
Once a campus‐wide message is submitted for distribution, it must be approved by the Director of Information Services or an Information Services designee. Therefore, users should allow for reasonable message processing and delivery time. Also, users will be informed through e‐mail or by other appropriate means if their messages are not distributed.

How to Send a Campus-Wide E-mail Message

~~Note~~ ~~: The normal email addresses for campus wide lists are currently malfunctioning. To send an email to the students list use~~ ~~students@thuban.owu.edu~~ ~~and for employees use~~ ~~employees@thuban.owu.edu~~ . Several e-mail addresses have been designated for sending important campus-wide e-mail messages. The selected OWU groups and associated e- mail addresses, which are updated once a week, are listed below. The use of these campus-wide lists are reserved for highly important, urgent notices or for special University-wide events relating to academic or campus community life. For everyday University announcements, please use the Daily Bulletin instead.

To submit a campus-wide e-mail for distribution, compose your message as normal, then use the address of the appropriate group to receive the message. (For example, to send a message to all students, type in students@thuban.owu.edu in your "To" e-mail field.) To submit to multiple groups, separate each address with a comma.

How to Send a Campus-Wide E-mail Message

Campus-Wide E-Mail Distribution Policy

Users can choose to receive campus‐wide messages either individually or through the OWU digest mode. A digest compiles all campus‐wide messages from the previous 24 hours and delivers them as a single message every business day at 4:30 p.m. To use the digest mode, users must send an e‐mail to Information Services with the word "digest" (without the quotes), then a space, then the OWU username in the Subject line. So John A. Doe would send a message with this Subject: digest jadoe
To stop digest mode and return to normal delivery mode, users must send an e‐mail to Information Services with the words "no digest" (without the quotes), then a space, then the OWU username in the Subject line. So John A. Doe would send a message with this Subject: no digest jadoe
The Director of Information Services or an Information Services designee is responsible for monitoring the campus‐wide e‐mail system during normal University business hours (8:30 a.m. to noon and 1 to 5 p.m. during the academic year; 8:30 a.m. to noon and 1 to 4:30 p.m. during the summer). This system is checked throughout each business day the University is officially open. Approved messages will be distributed during these times, as soon as possible after they are received.
To accommodate users in digest mode, all messages intended for same‐business‐day distribution must be submitted no later than 4 p.m.
Campus‐wide messages must be directly related to University activities(i.e., circumstances or events) and impact a significant portion of their intended audience. They should not, however, be a substitution for typical Daily Bulletin announcements.
Messages must be sent from personal OWU accounts (not from off‐campus accounts) and should include a short, relevant subject line. The "[OWU]" notation is automatically added to the beginning of the subject line by the system and should not be included. Make sure Subject line is capitalized in both instances.
If a message is sent on behalf of a specific University organization, club, or group, it will be assumed that the sender is authorized to act as an official agent of that body.
Messages should be in plain text only (not HTML). Message attachments must not exceed 50KB in total size. Also, messages cannot be edited once they are submitted; they are distributed "as is."
Once a campus‐wide message is submitted for distribution, it must be approved by the Director of Information Services or an Information Services designee. Therefore, users should allow for reasonable message processing and delivery time. Also, users will be informed through e‐mail or by other appropriate means if their messages are not distributed.

How to Send a Campus-Wide E-mail Message

Note : The normal email addresses for campus wide lists are currently malfunctioning. To send an email to the students list use students@thuban.owu.edu and for employees use employees@thuban.owu.edu .

Several e-mail addresses have been designated for sending important campus-wide e-mail messages. The selected OWU groups and associated e- mail addresses, which are updated once a week, are listed below. The use of these campus-wide lists are reserved for highly important, urgent notices or for special University-wide events relating to academic or campus community life. For everyday University announcements, please use the Daily Bulletin instead.

To submit a campus-wide e-mail for distribution, compose your message as normal, then use the address of the appropriate group to receive the message. (For example, to send a message to all students, type in ~~students@owu.edu~~ students@thuban.owu.edu in your "To" e-mail field.) To submit to multiple groups, separate each address with a comma.

Setting Up a Mail Client

You can use the following information to configure BishopMail using IMAP with many mail clients.

Incoming Mail (IMAP) Server - requires SSL:	imap.gmail.com Use SSL : Yes Port : 993
Outgoing Mail (SMTP) Server - requires TLS:	smtp.gmail.com (use authentication) Use Authentication : Yes Use STARTTLS : Yes (some clients call this SSL) Port : 465 or 587
Account Name:	your full OWU email address (including @owu.edu )
Email Address:	your full OWU email address ( username@owu.edu )
Password:	your OWU password (for e-mail, J/CX and Blackboard)

Recommended IMAP client settings , from Google--other settings for your account.

Campus Wide Email

Students, faculty, and staff have the ability to send email to the entire campus or select groups (like all students, all faculty, all seniors, etc.). To see how to send campus wide email and check the distribution policy, see the campus wide email page .

Attachments

With Gmail, you can send and receive messages up to 25 megabytes (MB) in size. Please note that you may not be able to send larger attachments to contacts who use other email services with smaller attachment limits.

How to embed images into BishopMail messages

First we need to enable the image insertion feature in Google Labs. Log in to your BishopApps account and then click on settings in the top right corner of the page.
Click on "Labs" in the Settings menu and scroll down to the "Inserting images" feature.
Click "Enable" for Inserting Images and then scroll to the bottom of the page and click "Save Changes".
Now that the feature is enabled you can use it anytime you're writing an email. When composing a message, just look for the "Insert Image" icon (has green mountains with a blue background) in the text formatting bar. When you click it a box will pop up giving you the option to insert either an image from your computer or an image you have a link to from another website. If you're using an image on your computer, click "Browse...", find the image you want, and click "Open". If you're using an image from another site, click "Web Address (URL)" and paste the image's URL (ex. http://www.owu.edu/images/ homepage_new/OWULogo.gif ) into the "Image URL" box.
When done, click "Add Image".
Once the image has been inserted you can re-size it from within the message body by clicking a corner of the image and dragging it or by clicking the "Small", "Medium", "Large", and "Original size" options that pop up when you click on the image.
After you have the image how you like it you can continue editing the message as usual.

Old method of embeding images (may be useful if the google labs feature is removed).

Gmail will only allow you to insert or paste images that are already published to the Internet. So, the first thing to do is make your image available online or publish it to the Web. Upload it somewhere, like Flickr or MediaShack . Wherever you upload it, get the direct link of the image and paste it into your browser's address bar. (A direct link to a published image will look like the URL in the following step.)
Here is a sample image you can use to try it out: http://www.owu.edu/images/homepage_new/OWULogo.gif Open it in a new tab or browser window.
Once it's loaded in your browser, drag your mouse across the image so the whole image gets selected or highlighted (it will turn dark to indicate that it is successfully selected.) If you're using Firefox, just right-click on the image and select "Copy image location" from the pop-up menu.
Log into your BishopMail account, and click Compose Mail. While in the body of your message press Ctrl-V to paste the copied image into your message. The image will then show and appear embedded. Fill out the recipients and subject of your email, then send away!

Problems with text attachments

Are your text attachments to email messages appearing in a single line? Gmail can be very picky about line endings, and expect client applications, such as Microsoft Outlook and Mozilla Thunderbird , to conform to line ending standards by using both CR (Carriage Return) and LF (Line Feed.) Information Services has found that Microsoft WordPad, an application that comes standard with Microsoft Windows, respects both LF and CRLF line endings, making the text readable regardless of which is used. Try opening the attachment with WordPad.

Note: Attachments in Bishopmail have a size limit of 25 MB.

How to make BishopMail the default mailto handler in Firefox

Would you like to be able to click email links in Firefox and have it automatically launch a new BishopMail message by default? Here's how to set that up, but it requires the latest version of Firefox, ~~v3.~~ v3 .

Login to BishopMail in Firefox ( http://mail.owu.edu/ ).
In the tab where BishopMail is loaded, copy and paste the following snippet of code into your address bar. Be sure to get all the text in bold: javascript:window.navigator.registerProtocolHandler("mailto"," https://mail.google.com/a/owu.edu/mail/?extsrc=mailto&url=%s ","BishopMail")
Press Enter on the keyboard.
Firefox will ask permission to add BishopMail as an application for mailto links. Click the Add Application button, as shown. (If nothing happens and this bar does not appear, please call the Help Desk and we'll assist further.)
Now, click a mailto: link—try the Help Desk email on the LIS home page —Firefox 3 will ask which application you want to use. Choose BishopMail ( not Gmail,) and select "Remember my choice for mailto links" to set the preference permanently.

Good Add-ons, but the more you add the slower the initial startup

Forecastfox Enhanced : Weather bar on bottom of window (instead of Weatherbug).
Adblock Plus : Blocks some of the annoying ads some sites have on their pages.
Cooliris Previews : Gives a preview of the page without actually going to the page
IE Tab : Allows Firefox to open pages that normally require IE.
McAfee SiteAdvisor : When doing a search it rates the pages of the search result as good or bad in regards to spyware an spam (works in IE also). Note: McAfee Site Advisor has caused a display conflict in Microsoft Outlook on four campus computers, yet Site Advisor is used on almost all University owned computers.
Better Gmail 2 adds useful extra features to BishopMail, like hierarchical labels, macros, file attachment icons, and more.

Note: There are some compatibility issues with Blackboard and Firefox v3.

Help--When I open Firefox it shows me the last page I was on rather than my home page.
